Use the material in this article to prepare for O3 teach-backs or to train your own team.

Training Outline:

Introduction

  • Explain your role for the organization and O3.

  • Short explanation of what O3 is for your organization - functions and benefits.

  • State the objective for the course session: learn how to navigate the software and perform basic functions.

Log in

  • Explain how users receive logins per your organization's process.

  • Users receive emails from O3 with their user names and passwords.

  • Mention if your organization is using Single Sign-on or not.

  • Explain how Roles are managed at your organization - this drives what features everyone has access to and what the menus look like.

Orientation of the Menus

  • Point out which areas are global (ex: Training) versus Project-specific (Dashboards / Actions)

  • Point out the major icons users will access routinely such as the user profile, Help link, Actions list, etc.

  • Dashboards: these are used for both data analysis and for accessing out-of-the-box training. Training dashboards are created by O3 PMs.

User Profile Management

  • Emphasis Notifications and Watchers for User Profile management as this drives a lot of the user experience and ability to get real-time alerts.

Task Management

  • Show the multiple ways users can see their tasks: action icon, Actions > My Actions, and Team Boards.

  • Actions encompass every type of activity in O3 that is tied to a person and due date. These can be constraints, approvals, or free-text actions.

  • Tasks are the generic activities that are not tied to work packages, documents, or other entities. Anyone can create these anytime for anything. The best way to organize and view these across teams is by using Team Boards.

  • BEST PRACTICE: regardless of system requirements, always add a responsible party and due date. What gets measured gets done!

Grid View Preferences

  • Walk through all the ways to change grid views so users see data their way.

  • Explain how to save formats and toggle back and forth between saved grid views.

Export & Share Grid Views

  • Explain how to export on demand, and how to schedule exports to email.

  • Show how other people can be added to grid exports or added to view your saved grid views.

How to Get Help

  • Show users how to start a conversation using the Intercom Icon.

  • Identify the emails or people in your organization to assist with permission upgrades and user settings.

  • Tell users to email [email protected] for technical issues.

  • Explain how the product request process works at your organization.

Activities to Complete:

You should be able to DO and TEACH all of the following before completing your certification:

  1. Locate the area where you can access your Personal Settings.

  2. Locate the area where you can view Support Articles (Online Help).

  3. Locate the area where you can see your Required Learning and register for courses.

  4. Update your Notification Settings to receive notifications are assigned to you.

  5. Add 1 Watched Item to your notifications.

  6. Go to Help and search for “quick reference”. Open an article that is a Quick Reference Guide.

  7. Send a Support Message introducing yourself and that you are in training.

  8. Create a new task using the Quick Add option.

  9. Assign the task to yourself.

  10. Navigate to the My Actions grid. Edit the due date on your task.

  11. Go to My Tasks. Add a new data column. Remove one.

  12. Filter the list to all actions, then group the data by Due Date.

  13. Save a grid view. Rename the view.

  14. Share the grid view with another user.

  15. View all the views that have been shared with you.
