Permissions
Users will require the following two permissions to import data into O3:
Entity Type >
Import- most Entities have anImportpermission that lets users upload data of that type.Imports >
View- this allows users to view the Imports grid.
Navigation
To access the Imports grid, follow these steps:
Expand the left-side menu.
Click on Tools.
Choose Imports.
Importing Data
In the Imports grid, click on the + in the top-right corner.
You will be prompted to enter one or more CSV files. You can select them in your file browser or drag-and-drop them into the grey box.
All import files must have a CSV file type. O3 will not accept any other file type.
Next, choose an Import Type for each file.
Enabling the Update Only toggle will ensure existing line items are updated, while new entries are ignored.
Use this if you only want to update existing data in O3.
If a line item in your import file already exists in the system, O3 will update that entry based on the column headers and data provided. The Update Only toggle is an additional measure you can take to ensure new data isn't created.
While all files must have a CSV type, you can choose the delimiter used in the file.
β
In most cases, you'll want to choose Comma.
The Email Me When Import Completes toggle lets O3 send an email to you once the import is done.
Since O3 is cloud-based, you don't need to watch your import until it completes. You can navigate to other parts of O3 or close our application while it progresses.
The Auto Select Import Type toggle lets O3 choose the Import Type based on your file's name. Consider your team's file naming conventions before enabling this. You can manually change the Import Type if needed.
Once you're done filling out the form, click Begin Import.
This will bring you to the Import Details screen, where you can monitor the import's progress.
Troubleshooting Imports
If your import went off without a hitch, nice! If not, no worries; you're in good company.
Pay attention to the Messages grid at the bottom of the Import Details form.
This can show you diagnostic information on your import. The grid includes two types of messages:
Warnings - e.g., unsupported column headers.
Errors - e.g., a
CWP Statusthat doesn't exist.
Pre-conditions and validation settings apply to Entities updated via import. E.g., if you update an IWP that isn't constraint-free to a status that requires it, that line item will fail.
The Details tab shows you all line items that were updated successfully, including the Original Value and New Value of the entry.
You can click on each ribbon to expand it's information.
Exporting Errors
Larger imports can be trickier to troubleshoot. O3 makes this easy by letting you export only the affected rows.
To export your import's errors follow these steps:
Go to the action menu icon (three dots) in the top-right corner.
Select Download Rows with Errors.
Look for the CSV in your Downloads folder.
This lets you correct your errors and immediately import the corrections.
