Video 1: Creating Work Packages in O3
Note: while we're using Installation Work Packages in these examples, the answers are the same for all work package types.
1) Create a work package from its respective grid.
Expand the left-side menu and click on Work Packages > Installation (IWPs).
Then click on the + sign above the grid.
Once you're done filling out the form, click Save.
2) From the Detailed Form, navigate back to the work package's grid.
Click on Installation Work Packages in the top-left corner.
This will take you straight to the IWPs grid.
Video 2: The Detailed Form
Note: some work package types will have different tabs available. Also, the tabs you see are based on your level of access in the selected project.
We recommend navigating the Detailed Form for the different work package types you'll be working with in O3.
Pay close attention to the tabs that apply to your team, and make note of where certain fields are.
If you can't find something, now is a great time to ask our support team!
Video 3: Associations
Note: while we're using Installation Work Packages in these examples, the process is similar for other work package types.
Also, Entities available for association can vary by project. Your screen might look different than the ones below.
1) Try associating something to a work package.
In this example, we're going to associate a Document to an Installation Work Package.
In the IWP's Detailed Form, click on the Associations tab > the + sign next to Documents > Add Association(s).
2) What happens when you associate an Entity as a Predecessor to a work package?
When adding an Association, choose Add Predecessor(s).
Once the Predecessor is added, a Predecessor constraint is created on the work package.
Note: a constraint will not be created if the Predecessor is already in a Completed or Closed Out state.
3) What happens when you associate an Entity as a Successor to a work package?
See (2), except the Predecessor constraint is created on the Successor Entity.
4) How do you access the Associations grid?
In the left-side menu, click on Tools > Associations.
Video 4: Execution
Note: Execution Tasks are only supported for certain work package types.
1) What are the different ways you can create Execution Tasks on a work package?
Go to the Execution tab and click on the + sign above the grid.
Under the Materials tab, click on Components off to the side.
Select a Component in the grid by clicking on it, then click on the Action Menu icon > Create Execution Tasks.
Your Execution Task will be added to the Execution Tasks list under the Component's name.
Note: Execution Tasks can be auto created when adding Components to an IWP. You can learn more about this here.
2) What are the different ways I can progress my Execution Tasks?
Under the Execution tab, choose an Execution Task in the list and check off each step as applicable.
Click Execution Task Workflow on the left, then fill in each step that's been completed.
3) Where can I see execution progress at the IWP level?
You can find this under the Summary or Details tabs, depending on how your Detailed Form is configured.
You can also see % Complete on the work package's grid.
Video 5: Attachments
Note: while we're using Installation Work Packages in these examples, the answers are the same for all work package types.
1) Upload an Attachment to a work package.
Go to the Attachments tab and click on the + sign above the grid.
Then choose the Attachment Type and your file.
2) How do you download an Attachment?
You can download an Attachment by double-clicking on it in the work package's Attachments list > Download Attachment.
Or you can click the hyperlinked text under Filename in the grid.
3) Where can I see Attachments project-wide?
In the left-side menu, click on Project Information > Attachments.
This will show you Attachments for all Entity Types you have access to.
Video 6: Managing Workflows
Workflow settings are going to vary from project to project.
We recommend moving a work package throughout its entire lifecycle, taking note of what Pre-conditions you encounter (e.g., Require 100% Constraint Free or Require 100% Approved) and when automatic transitions occur (e.g., after clearing all Approvals, Constraints, and/or Execution Tasks).
This will let you know what to expect as you progress work packages in the actual project.
