Importing Tasks & Subtasks

Use O3's Imports tool to get your Team Board set up in seconds!

Setting up Your Import File

Start by opening up a new Excel workbook.

For tasks, the following fields are required:

  • Name - the task's name

And we recommend the following fields:

  • Assigned to User - the person in charge of progressing the task

  • Due Date - the date the task needs to be closed out by

  • Description - an elaboration of the task's purpose

  • Status - the current state of the task's progress

    • We recommend importing Status when you're importing tasks that are in progress or no longer open.

  • Team Board - the Team Board the task will live on

Your import file might look like the following:

You can also upload subtasks via the Imports tool. This can be done a couple different ways.

Importing Subtasks via Task ID

When a task is created, it will automatically receive a Task ID. This is the task's UID.

Subtasks can be imported inputting their parent task's Task ID under Parent Task.

Note: importing via Task ID means the task must already exist in O3.

Importing Subtasks via Source Key

Subtasks can also be imported via Source Key. This allows you to create the task and subtask at the same time.

Note: Source is a project lookup configured in Project Information > Data Sources. Learn how to create these here.


Accessing the Imports Tool

Once your import file is set up, expand the left-side menu and click on Tools > Imports.

Then click on the + sign at the top.

Choose your file and select the Task Import Type. What you see should similar to below when you're done.

Click Begin Import when you're finished.
